Sponsorship and Exhibitor Opportunities

Connect your organization with researchers, engineers, academics, and industry leaders attending the 2027 conference, June 1–4, 2027.

Sponsorship and exhibitor packages provide opportunities for brand recognition, attendee engagement, technical or sponsored presentations, and participation in the conference exhibit area.

Platinum Sponsor — $7,500

  • Recognition during technical sessions and conference luncheons.
  • Recognition on the conference website, mobile app, tote bag, and applicable conference signage.
  • Two-page advertisement in the printed conference program.
  • One exhibit booth included upon request.
  • One optional 15-minute presentation with priority scheduling.
  • Three full conference registrations.
  • Two booth-staff registrations with exhibit-hall access and eligible conference meals.
  • Two invitations to the conference organizers’ dinner.
  • Academic sponsors may exchange each included full conference registration for two student registrations.

Gold Sponsor — $5,000

  • Recognition on the conference website, mobile app, tote bag, and applicable conference signage.
  • Two-page advertisement in the printed conference program.
  • Additional recognition associated with a selected sponsored event or category, subject to availability.
  • One exhibit booth included upon request.
  • One optional 15-minute presentation.
  • Two full conference registrations.
  • Two booth-staff registrations with exhibit-hall access and eligible conference meals.
  • One invitation to the conference organizers’ dinner.
  • Academic sponsors may exchange each included full conference registration for two student registrations.
  • Academic sponsors may exchange an unused exhibit booth for one student registration.

Silver Sponsor — $2,000

  • Recognition on the conference website, mobile app, tote bag, and applicable conference signage.
  • One-page advertisement in the printed conference program.
  • Additional recognition associated with a selected event or category, subject to limited availability.

Exhibitor — $3,500

  • Recognition on the conference website, mobile app, tote bag, and applicable conference signage.
  • One-page advertisement in the printed conference program.
  • One exhibit booth.
  • One optional 15-minute presentation, subject to availability after Platinum and Gold sponsor scheduling.
  • One full conference registration.
  • Two booth-staff registrations with exhibit-hall access and eligible conference meals.

Full Conference Registrations

A full conference registration includes:

  • Access to technical sessions.
  • Eligible conference meals provided according to the attendee’s registration type and the conference schedule.
  • The right to present and publish up to two accepted papers.

Each paper must complete the conference’s full submission and peer-review process, be accepted for presentation, and satisfy all final-submission, presentation, registration, and IEEE publication requirements.

Qualifying papers will be included in the archival conference proceedings and submitted for publication in IEEE Xplore, subject to IEEE requirements.

Published papers and their associated technical presentations must be free of commercialism. References to companies or commercial products must be technically relevant and presented objectively. Promotional claims, sales material, pricing, calls to purchase, and other marketing-focused content are not permitted.

Academic sponsors may exchange one included full conference registration for two student registrations where the package expressly allows it. Exchanges must be requested before attendee credentials are issued.

Booth-Staff Registrations

Booth-staff registrations provide access to the exhibit hall and eligible conference meals. They do not include access to technical sessions or paper presentation and publication rights.

Meal availability may vary by attendee role and conference schedule.

Optional 15-Minute Presentations

The optional presentation included with Platinum, Gold, and Exhibitor packages may be used in one of two ways.

Third Accepted Paper

The presentation may be used for a third paper associated with the sponsor or exhibitor. The paper must:

  • Complete the conference’s full submission and peer-review process.
  • Be accepted for presentation.
  • Be free of commercialism.
  • Satisfy all final-submission, presentation, registration, and IEEE publication requirements.

A qualifying paper will be included in the archival conference proceedings and submitted for publication in IEEE Xplore, subject to IEEE requirements.

Sponsored Presentation

The presentation may instead be used for company, product, research, or industry content that has not completed the conference’s full peer-review process.

Commercial or promotional content is permitted, subject to conference content guidelines. The presentation will be clearly identified in the conference program and during the session as sponsored content. It will not be included in the archival conference proceedings or submitted for publication in IEEE Xplore.

All presentations are subject to availability, scheduling, content review, and conference program guidelines. Scheduling priority is:

  1. Platinum sponsors
  2. Gold sponsors
  3. Exhibitors

Declined or unused presentation opportunities have no cash or credit value.

Exhibit Booths

Each booth includes:

  • One 10-foot-by-10-foot exhibit space.
  • One 8-foot table.
  • Two chairs.
  • One standard electrical power drop.

Each booth includes access to shared standard 120 V electrical service suitable for ordinary, low-power exhibit equipment. Exhibitors with additional or specialized power requirements must contact the conference organizers in advance.

Additional elect specialized connections, furnishings, material handling, and storage are not included and may incur additional charges.

Conference organizers assign booths in high-traffic areas of the venue. Sponsors and exhibitors may request a specific location. Selection priority is based on the order in which fully paid registrations are received. Location requests are subject to availability and cannot be guaranteed.

Chemicals and other hazardous materials may not be brought into the conference venue without prior written approval from the conference organizers and venue.

Advertisements and Logos

Advertisements and logos must be submitted in print-quality format by March 15, 2027, to be included in the printed conference program or on the conference tote bag.

Materials received after March 15 may still be used on the conference website, mobile app, digital platforms, or other signage at the organizers’ discretion. Inclusion in the printed conference program or on the conference tote bag cannot be guaranteed after the deadline.

Registration Exchanges and Unused Benefits

Registration exchanges must be requested before attendee credentials are issued. Exchanges cannot be divided, redeemed for cash, applied as a refund, or transferred to a future conference.

Except where expressly stated, declined or unused package benefits have no cash or credit value.

Cancellation and Refund Policy

All cancellation and refund requests must be submitted in writing.

  • Requests received on or before March 15, 2027, will receive a refund less a 5% administrative fee.
  • Requests received after March 15 and before May 31, 2027, will receive a refund less a 50% administrative fee.
  • Registrations are nonrefundable beginning May 31, 2027.
